Special Assistance

ASCO, the Hyatt Regency Grand Cypress, and all official Conference hotels comply with the Americans with Disabilities Act. If you require special assistance onsite, please contact us.

Age Requirement for Attendees

Because of the detailed nature of the programs and forums, no one under the age of 18 will be admitted to any official Conference function. This includes, but is not limited to, all Conference sessions, the Exhibits and Food Service Room, and all evening events offered by ASCO.

Meeting Badge

For security reasons, the ASCO Oncology Practice Conference badge will be required for admittance to all events. Please wear your badge so that it can be easily seen at all times. Lost badges should be reported to the Registration staff immediately. The following badge policies will be in effect throughout the Conference:

  • The ASCO Oncology Practice Conference badge is the sole property of ASCO.
  • The badge is nontransferable.
  • False certification of individuals as paid Conference attendees, misuse of badges, any method of assisting unauthorized persons to gain access to any Conference event, or any inappropriate or unauthorized conduct will be just cause for repossessing badges of any individuals involved and removing all parties involved from the Conference without obligation on the part of ASCO for refund of any fees.

Attendee Conduct

Individuals who are part of the ASCO Oncology Practice Conference may not engage in any demonstrations or other behavior that ASCO deem to be potentially disruptive to the conduct of the Conference. Violation of this rule is grounds for immediate removal from the Conference and/or ineligibility for attendance at future ASCO symposia or meetings. Any person who is dismissed from the Conference may request that ASCO review the matter, provided, however, that such dismissal will be effective immediately and will continue until and unless ASCO issue a contrary decision.

Cancellation 

ASCO reserve the right to cancel the ASCO Oncology Practice Conference because of unforeseen circumstances. In the event of such cancellation, the full registration fee will be returned to each registrant.

Authorization for Use of Image, Name, and Other Likeness

By attending the ASCO Oncology Practice Conference or entering in the facility in which the ASCO Oncology Practice Conference  takes place, you agree that ASCO and/or third parties authorized by ASCO may photograph or record your likeness, image, name, voice, and/or words, and may publish, display, reproduce, copy, and distribute your likeness, image, name, voice, and/or words for promotional, educational, or membership activities worldwide in all forms of media now known or later developed, including but not limited to advertising, training, websites, presentations, and marketing materials. You further acknowledge that ASCO and/or third parties authorized by ASCO shall have the right, but not the obligation, to identify you in connection with such media by name and/or affiliation.

Recording (Audio, Video, and Still Photography)

Copyright of the ASCO Oncology Practice Conference program is owned by ASCO. ASCO reserves the rights to all recordings or reproductions of presentations at this Conference and all ASCO meetings and symposia. Any photography, filming, taping, recording, or reproduction in any medium, including via the use of tripod-based equipment, of any of the programs presented at the ASCO Oncology Practice Conference without the express written consent of ASCO is strictly forbidden. Exception: Non-flash photography and audio or video recording using hand-held equipment, for strictly personal, social, or noncommercial use, are permitted if not disruptive, as determined by ASCO.

No Soliciting in the Exhibits Room

The exhibits give the ASCO Oncology Practice Conference attendees the opportunity to meet with representatives from the health care industry about their products and services in a professional atmosphere that is consistent with the educational mission of the Conference. Conference attendees are prohibited from soliciting business from other attendees or exhibitors in the Exhibits Room, unless the solicitation occurs within the specific exhibit space of the attendee.

No Smoking

Smoking is prohibited in all the ASCO Oncology Practice Conference facilities, including public areas and the Exhibits and Food Service Room. This policy will be enforced.
